How to attend Appointment Requests effectively

Your clients can request an appointment through BrainHi. We collect their basic information and their preferred appointment date based on your settings. Read this article to learn how to monitor and attend these appointment requests.

Pending Appointment Requests

When a new appointment request comes in you can view it in the Scheduling tab. Each request will be shown as a card with the patient's basic information and preferred appointment date.

Make sure the information looks good before performing any actions on this request.

You can send a message or view your conversation with this person, without leaving the screen.

BrainHi's Standalone version allows you to modify the time and date of the appointment. We recommend you make sure this is an available slot on your calendar and communicate with the person of any changes to their appointment request.

BrainHi's Integrated version will show any potential conflicts with your calendar. Here you can modify the Provider or Chair in order to select the best place for BrainHi to insert this appointment into your calendar.

After ensuring the information is correct and the slot is available in your calendar, it's time to accept the appointment request. You may also reject, or remove the appointment request if required.

Accepting the Appointment Request

When you accept the appointment request, a message is sent to notify of the time and date of the appointment.

If you have the Integrated version, we will also insert an appointment into your appointment on the appropriate space.

Rejecting the Appointment Request

When you reject the request, a message is sent notifying of the rejection. The message will include a link where a new time and date can be requested.

We will always ask for you to confirm before rejecting an appointment request.

Removing the Appointment Request

In cases where you have already communicated with the person and attended the request outside of BrainHi, we also offer the option of removing the request. This will mark it as removed, and will not send a message.

This is the screen shown when there are no pending appointment requests. It will update in real time when a new request comes in.

You will always have access to the appointment request history view that shows all of the appointment requests created in BrainHi.
