Everything you need to know to configure BrainHi for the first time

In this article we will set up BrainHi so that we can start communicating with your clients effectively. In order for BrainHi to answer questions correctly, it's important for you to provide BrainHi some information about your business.

We'll be showing the most important BrainHi Settings and what each of them do.

Work Hours

When BrainHi receives a missed call it will send a text message to the incoming caller. The content of that message will change depending if your business is currently open or not. You can completely configure both of these messages.

Work Hours are setup as time periods for each business day. You can setup multiple time periods for each business day. For example, if your open from 8AM to 5PM, with a 1 hour lunch break your hours would look like this:

There are some additional options here that affect how BrainHi handles missed calls throughout the day:

Send automated response when the sender's intent is not detected and it is within working hours.

Pauses BrainHi during working hours when the client's intent is not detected. This way your staff can take over the conversation without BrainHi's bot getting in the way

Send out of office message when outside working hours

When this is turned off BrainHi will always send the same call rescue message, regardless of the Work Hours you have configured.

Remove followup when a conversation is completed

When this is turned off BrainHi will keep Inbox Conversations in Followup when they are Completed.

Message

In the Messages section you can configure all of the automated responses BrainHi can send. This includes the message sent when a call is rescued, responses by our AI chatbot, and automated messages for confirmations and the waiting list.

We recommend that you modify the Missed Call and Out of working hours messages. These are the messages sent when BrainHi rescues a missed call.

Our most successful clients have a clear call to action in this message such as a link to request an appointment, to make an order or any other action specific to your business.

Users

You can have as many users as you need, so that you can share access to BrainHi to other members of your staff. If you will have multiple people sending messages via BrainHi, we recommend each of them having a separate user to login to BrainHi.

When a message is sent via BrainHi, we always show the user who sent the message.

Waiting List Messages

If you are using BrainHi's Waiting List to manage your queue of clients, you can configure the messages sent to clients as they are updated on their turn.

Automated Confirmation Messages

If you are using one of our Calendar Integrations to automatically confirm your appointments via BrainHi, you can configure the confirmation messages sent to your patients. This way you can include any special note they should be aware of regarding their appointment.
