Learn how BrainHi confirms your appointments automatically. Saving time for your staff to focus on other tasks

BrainHi has calendar integrations with various systems of record. This integration allows us to confirm appointments automatically. Currently we integrate with OpenDental, SecureClaim and PracticeFusion.

BrainHi fetches appointments from you calendar throughout the day. You can always see what appointments BrainHi has fetched from the Appointments view. You must enable automated confirmation messages in BrainHi's Settings.

Settings

You can configure the time and day appointment confirmations are set for every day of the week. Appointments can be confirmed up to a week in advance.

You must enable confirmations for the providers you want BrainHi to confirm appointments for. This is useful if you only want to confirm appointments for certain providers.

You can choose to send a message with date and time or only date of the appointment. This is useful if you attend patients first come first serve and not on a specific hour.

Appointments View

You can see all of the appointments BrainHi has fetched from your calendar, and their confirmation status. You can also see if the appointment was last updated in BrainHi or your calendar directly.

The Contact column shows if BrainHi has contacted the client to confirm their appointment. The possible values for this column are:

  1. Not contacted: BrainHi has not sent an appointment message or called to confirm this appointment

  2. Not answered: The client did not answer the message or call to confirm their appointment

  3. Not available: For landline phones, we will use this status if the phone was not available for a call when BrainHi attempted to confirm the appointment.

  4. Answered: The client responded to the confirmation message, either to confirm or cancel their appointment.

The Status column shows the appointment's confirmation status. This is synced with your calendar. The possible values for this column are:

  1. Pending: The appointment has been synced to BrainHi and is not confirmed yet

  2. Confirmed: The appointment has been confirmed, either via BrainHi or your calendar directly.

  3. Cancelled: The appointment has been cancelled, either via BrainHi or your calendar directly.

  4. Confirming: The appointment was confirmed via BrainHi and we are in the process of updating your calendar.

  5. Cancelling: The appointment was cancelled via BrainHi and we are in the process of updating your calendar.

You can always manually confirm or cancel any appointments. This will send a message to the clients to let them know about the confirmation or cancelation. You can also quickly send a mass message to all clients for the day.
