How to use the Conversations screen

Everything you need to know to improve your communications using BrainHi

You can monitor all of BrainHi's interactions with your clients in the Conversations screen. Whenever a message is sent or received by BrainHi, that message will be added to the corresponding conversation.

This article shows how to use the conversations screen to communicate more effectively with your clients.

¿How are new conversations created?

Here are the different ways a new conversation is created:

Call Rescue

Anytime a new call is rescued by BrainHi and a text message is sent, that message can be seen in the conversation associated with that phone number. If a missed call includes a voicemail it can be heard or it can be transcribed and read.

New Outbound Message

You can start a conversation by sending a new message to any 10-digit phone number. You can send a message to a single phone number, or a mass message to up to 100 phone numbers.

Automated Message

BrainHi will start a new conversation when an automated message is sent. This can be an appointment confirmation or when an appointment request is accepted.

What is Pending, Completed and Followup?

All conversations have a status of either pending or completed. You can also manually mark a conversation as followup. Here's a primer on what these different statuses mean:

Pending

Conversations go from completed to pending when the client sends a message that needs human attention and cannot be answered automatically. The client receives a message letting them know:

Completed

Pending conversations must be completed manually. After a human has attended the conversation and finished messaging with the client, the green checkmark can be used to complete the conversation.

Make sure to complete all of your pending conversations every day!

Followup

If there is a conversations that you want to easily find later, you can mark it as followup by clicking the star icon. Followup conversations can easily be filtered for in the Followup tab.

Managing New Conversations

On the left part of the screen you can see all conversations. If you click on a conversation, you will see all of the messages sent and received with that phone number. You can always send a message to the number and it will be immediately send via SMS.

You can also leave an internal note inside of a conversation. This note will not be sent to the client via text message. This way you may leave a note for another team member, or a note with context on the conversation happening with the client. Make sure to identify clients you interact with frequently. This will allow you to search and find them faster.

Searching Conversations

You can use the search bar to search conversations by name, phone number or any text sent in the conversation.

When you write in the search bar, the conversations list will be filtered by the search results. Any text in the conversation similar to your search text will also be highlighted:
