What is the Waiting Room Screen?

The waiting room screen (TV) displays turn status in real time so that patients in the waiting room know when and where they need to go.

How to get the TV link

  1. Go to Settings > Waitlist.
  2. Find the TV Screen section and copy the TV link.
  3. Open that link on the television or screen connected in your waiting room to project it.

How to add logo, images, and promotional videos

  1. Go to the TV Screen Configuration section within Waitlist.
  2. Click "Modify Kiosk and TV Content" (top right).
  3. On the "Kiosk" tab, upload your institution's logo in the "Upload your Company Logo" section (accepted formats: jpg, jpeg, png, gif, webp, svg, ico, bmp, tiff, heic, heif — only 1 image allowed).
  4. Switch to the "TV" tab and go to the "Upload marketing images and videos" section.
  5. Click "Add Images/Videos" and select one or more files (accepted video formats: mp4, mov, avi, mkv, webm, flv, wmv, mpg, mpeg, 3gp, 3g2, mj2, m4v, m4p, m4b, m4r).
  6. You can delete an individual file by hovering over it and clicking the trash icon, or continue adding more with the same button.
  7. Click "Save" to apply the changes.

Once saved, images are shown for 6 seconds each and videos play in full (with audio); the carousel repeats in a continuous loop on the TV and kiosk.

How to configure audio notifications

From the portal you can enable:

  • Alert sound: plays on the TV when a turn is called.
  • Voice alert: announces the turn with an audible message.

To verify that audio is working correctly, use the speaker icon (📢) next to the queue or station name (you need to have the TV link open) and confirm by listening on the screen or mini PC connected to the TV.

How to choose what information the "It's your turn!" message includes

  1. Go to Settings > Waitlist > SMS Notifications and enable "Turn alert".

  2. Choose an option in "Alert message content":

    • Queue name + Station name (default option) → "It's your turn! Please proceed to [Queue Name] to be served at [Station Name]."
    • Queue name only → "It's your turn! Please proceed to [Queue Name] to be served."
    • Station name only → "It's your turn! Please proceed to be served at [Station Name]."
  3. If you want to edit the exact text of the message, go to Settings > Messages, where only the template corresponding to the selected option is shown.
